Moving Out & Security Deposits
Lease Expiration
Lease expiration does not automatically complete your move‑out. You must follow all move‑out procedures, including properly vacating the unit and returning all keys and access devices according to the guidelines provided. You remain responsible for the unit until these steps are completed.
What do I need to do when I move out?
Your lease outlines the requirements you must complete in order to properly vacate your unit. In some cases, there may be additional, property‑specific details, so you may want to contact your Property Manager for clarification. Please review the move‑out guidelines carefully.
All tenants will receive a move‑out letter at their primary email address on file 30 days and again 7 days before the lease end date.
Returning Keys
Keys must be returned to the Matchbox office by noon on the lease end date. You are not officially considered moved out until your keys are received, and you may be responsible for rent or other charges until they are returned. If you move out before your lease end date, please turn in your keys at that time so they are not forgotten.
If you return keys during office hours, a team member can assist you, or you may skip the line by placing your keys in a completed Key Return Envelope, which is available on site.
If you arrive after hours, on a weekend, or on a holiday, you must place your keys in a Key Return Envelope found at the drop box, complete the required information, and deposit the envelope into the drop box. Keys returned after hours, on a weekend, or on a holiday will be dated to your account on the following business day.
If you choose to mail your keys, please use a padded envelope or a small box, as standard letter envelopes are often torn by mail sorting equipment, which can result in lost keys or fobs. Be sure to include your name, unit number, forwarding address, and email address with your keys. Keys may be mailed to:

Keys returned late may be subject to fees, and charges apply for any unreturned keys or fobs.
Can I apply my security deposit to my last month’s rent?
No. Your security deposit is held in a separate Escrow Account and will only be used for damages and outstanding charges after you vacate the property – NOT for your last month’s rent.
What do you do with my security deposit after I move out?
Within 72 hours of lease expiration, one of our agents visits the property and performs a move-out inspection to assess the condition of the property in comparison to your move-in inspection. Within 45 days, based upon the condition the home was left in, we will determine if there is a refund or if there is a balance due. We will process your security deposit in strict accordance with the VRLTA.
When can I get my security deposit back?
Under VRLTA we have 45 days from a) after the termination of the tenancy; or b) the date the tenant vacates the dwelling unit to process the unit and submit any remaining Security Deposit back to you. Please make sure you provide us with your forwarding address when you turn in your keys. Under the VRLTA we do have the right to an extra 15 days, with notice, if needed. We do our best to stay within the 45 days.
How will I receive my money back from my Security Deposit I paid?
You will receive this in the form of an E-check to the email address we have on file for your account. It will be coming from the email address of App@echecks.com.
Please make sure your contact information is up to date so we can reach you after move‑out, including for security deposit communications sent via email.
Steps to update your information:
Log in to Tenant Web Access through our website or open the rmResident App.
Navigate to Account Information.
Select Edit.
Update:
- Your email address (use a personal email you will continue to access after move‑out)
- Your mailing address (use an address where you can receive mail after leaving the unit)
Save your changes.
Please do not use:
- A school email address you may lose access to
- The apartment or mailing address you are moving out of
Your security deposit and other post‑move‑out communications will be sent using the contact information on file, so it’s important this information is accurate.
What if my security deposit does not cover my charges?
We will send you a letter notifying you of a balance due. Payment will be expected promptly to prevent further action to collect the debt.
What if I do not pay my outstanding charges?
Any outstanding charges 20 days from the date of invoice will become Rent per you lease and will be turned over to our Accounts Specialist Manager and will become part of your Unlawful Detainer/Warrant In Debt proceedings.
What do I do if I disagree with the disposition of my security deposit?
You must submit your dispute to SecurityDeposit@MatchboxRealty.com within 20 days from the date of receipt of your security deposit return form.
